Choosing Your Perfect Folder System to Tame Your Lightroom Classic Catalog

Ever stared at your digital photos, wondering where to even begin organizing them? 🤔 Whether you're excited to start fresh with a new camera or dreading sorting through years of scattered memories, figuring out the best folder structure for photos is key to maintaining your sanity and finding your images quickly!

I'm here to walk you through two simple, effective folder structures, helping you choose the perfect fit for your unique photo-taking style.

Step 1: Create ONE Master Folder for ALL Your Photos 📁

Before diving into subfolders, your absolute first step is to establish a single, "master" folder to house every single photo you take. You can name it simply "Photos," "My Images," or whatever makes sense to you.

Why just one? Because having everything centralized keeps your collection neat and tidy! It makes backing up a breeze and ensures that if you ever need to move your entire library to a new hard drive, it's just one simple transfer. This main folder is the home for all your memories, ideally on an external hard drive for safety and space.

Step 2: Decide On Your Preferred Sub-Folder Structure 🛣️

Once your master folder is set, it's time to choose how you'll organize the subfolders within it. There's no single "right" answer here – the best system is the one that makes the most sense to you and how you interact with your photos. Here are two popular options:

Option 1: Organize Photos By Date 🗓️

This is a favorite among my Digital Declutter in Lightroom Classic students! It's super straightforward:

  • Yearly Folders: Within your master folder, create separate folders for each year (e.g., 2021, 2022, 2023).

  • Monthly Sub-Folders: Inside each yearly folder, create folders for each month (e.g., “01 - Jan,” “02 - Feb”). Adding a number prefix ensures they stay in chronological order!

  • Daily/Event Folders: Within your monthly folders, you'd then create specific folders named by date and activity (e.g., “02-14-2025 Valentine’s” or “07-04-2025 Fireworks”).

This structure works beautifully if you primarily shoot day-to-day life, family events, or create yearly photo books.

Option 2: Organize Photos By Topic/Activity 📍

Alternatively, you can organize your photos based on the type of photography you do, rather than strict dates:

  • Topic Folders: Create top-level folders for different activities or genres (e.g., Maternity, Weddings, Family, Newborn).

  • Descriptive Sub-Folders: Within these topic folders, create sub-folders that are highly descriptive. For example, inside "Maternity," you might have “2025 Smith.”

This approach is ideal if you specialize in certain genres or need to quickly access images based on their content (e.g., finding all your flower photos for a print sale).

So, Which is the BEST Folder Structure for You? 🤔

The "best" structure truly depends on how you shoot, how you use your images, and the volume of photos you take.

Personally, I lean towards a date-based structure because I mostly photograph my daily life and create yearly photo books organized by month. But if you're a landscape photographer selling prints, an activity-based system might make far more sense – knowing the location or subject is probably more important than the exact date it was captured!
